About the Job:
Greenjets is seeking a Senior Office & Operations Administrator to support the day-to-day execution of operations for the German business. This role is based in Germany and is intended for an experienced, hands-on administrator who is comfortable taking ownership of office operations, HR administration and finance-related coordination.
You will act as the central operational point of contact for the German entity, ensuring that administrative, personnel and financial processes run smoothly and reliably. The role is execution-focused and requires a high degree of organisation, discretion and independence. You will work closely with management and external advisors and enable technical and commercial teams to focus on delivery.
Location and Working Model
The role is based in Germany. Part-time or full-time arrangements may be considered, depending on experience and business needs.
Contract and Employment
The position may be offered as a permanent role or as a long-term contract, depending on the candidate profile. Compensation will be aligned with experience and scope of responsibility.
What You'll Do:
You will take ownership of HR and personnel administration for the German business. This includes HRBP functions for employees and contractors, preparation and management of employment documentation, coordination with payroll providers and external advisors, maintenance of personnel records, and support of employees on administrative HR matters. You will ensure compliance with German labour law and data protection requirements, working with external advisors where appropriate.
You will support finance and commercial administration, including coordination with tax advisors, payroll providers and banks, handling invoices and expense processes, maintaining basic financial records, and supporting budgeting, reporting and audits at an administrative level. This role does not require deep accounting expertise, but requires reliability, structure and attention to detail.
You will also support export control and compliance activities from an administrative and coordination perspective. This includes maintaining documentation, supporting export control classifications and licence processes, coordinating with external advisors, and ensuring that internal processes and records are maintained correctly. You will work closely with management and technical teams to support compliance with applicable German, EU and international regulations.
Desirable Qualifications, Experience & Attributes:
You will have experience in an office management, operations administration, HR administration or finance administration role, ideally within an engineering, technical or otherwise regulated environment. Experience working in a small or growing organisation, where responsibilities span multiple areas and require a pragmatic, hands-on approach, is highly desirable.
You will have a solid understanding of German office operations and employment administration. Experience supporting payroll, finance administration or working with Steuerberater and external service providers is expected. Exposure to export control or compliance topics (e.g. AWG/AWV, EU Dual-Use) is an advantage, but deep specialist knowledge is not required.
You will be highly organised, reliable and discreet, with strong attention to detail and the ability to handle sensitive information appropriately. You will be comfortable working independently, prioritising tasks and executing reliably without extensive oversight.
Fluency in German (spoken and written) is required.
Good working proficiency in English is essential for coordination with international teams.
